Golden Proportions Marketing, one of the nation’s leading dental marketing agencies, is getting bigger – and busier – by the day. To effectively maintain our high-quality standards, we are searching for a self-starter and leader to own the newly created role of Traffic Manager.

As the ideal “get-stuff-done” candidate, you will help us create the position, define how it operates within our company, and incorporate it into our agency systems. Once the dust settles and you’re up and running, interacting with our sales and production departments to manage scheduling and consistently hit deadlines will be your top priority.

You will succeed in this role only if you are:

  • A highly organized, multi-tasker
  • An open and honest communicator
  • Deadline-driven
  • A problem solver who is able to think independently
  • Confident to push back when necessary
  • Team oriented
  • Adaptable, integrity, accountable, positive
  • Progressive
  • System-oriented, with a knack for streamlining processes for efficiency
  • Responsive
  • Calm under pressure
  • Experienced working in a fast-paced/high-volume agency environment (5+ years)
  • An expert at using agency management software, preferably Accelo (3+ years)
  • A graduate of four-year degree program in a related field (e.g., marketing or business)

As a detail-oriented person, we know you undoubtedly want to know exactly what you’ll be doing. During a typical week, you will be expected to:

  • Ensure each project has a deadline date that is completed by or before the deadline on the client marketing calendar
  • Review, prioritize, and adjust task deadlines based on current work, incoming work, the team’s work schedules, and project deadlines making sure workloads are evenly distributed
  • Monitor progress daily to hit launch/deadline dates of projects
  • Conduct weekly production/job status meetings with applicable teams
  • Communicate specific tasks and corresponding deadlines to team members for the week
  • Coordinate and assign work to freelancers to ensure they are meeting timelines and requirements
  • Update the applicable team on any changes to a project schedule
  • Hold each team member accountable to assigned work for the week
  • Communicate to the team if a project is in danger of missing its deadline
  • Facilitate continual progress and awareness of project deadlines by communicating with the team regularly
  • Ask Account Executives to address client issues such as project stalling, change in direction, or general friction in the relationship, and help facilitate a resolution which could be a deadline change
  • Keep work schedules and deadlines manageable to avoid rush jobs (if that is unavoidable, manage the process so the rush job interferes as little as possible with everyday workflow and team schedules)
  • Follow established job systems and communicate to the COO if systems are out of date
  • Help COO streamline systems and processes to improve efficiencies
  • Build relationships with co-workers through excellent interpersonal and communication skills striving for a positive and collaborative environment
  • Track time in Accelo
  • Use Accelo daily for job schedules and progress, deadlines, and notes

  • Besides the usual health, detal, PTO, etc, you’ll have the benefit of doing work you’re proud of, and working with some pretty amazing and creative people.
  • The boss is passionate about personal growth in her team, so she places emphasis on continuing education and professional development for each and every person.
  • The only travel you’ll be asked to do is bi-annual planning retreats. So if you want to wear PJ pants on the bottom and a blazer on tope when you’re Zooming with a co-worker, who’s gonna know?

This position is fully remote. Must be able to work East Coast hours.
